Have you ever wondered what a typical day is like for a hotel sales & events co-ordinator? I am Stephen from The Last Drop Village Hotel & Spa and this is what a typical day is like for me.

5 years service with Last Drop Village Hotel and Spa

I work in the sales office  with key focus on the conference bookings, I am involved with internal events, private bookings, networking, sales, show rounds, Christmas  & social media

My day is varied from having meetings internal and external, inbound and outcall sales calls from a broad spectrum of enquiries and different types of businesses and personal bookings, financial reporting and creative sessions

I enjoy the customer interaction especially the face to face interaction, trying to make each booking special/individual  for them

We do have a lot of repeat customers seeing them come back time and time again is a reflection on the service and experience we offer

The services we can offer is unrivalled locally and working in such a historic hotel, we are so unique and quirky with 128 bedrooms across the grounds, 14 meeting rooms, helipad,  on site Tea shop and pub with 8 independent retails shops from a Jewellers to a  hairdressers

 

A usual day in the life of Stephen at The Last Drop

Start the day in the office check my emails and action as required, functions diary, appointment diary, catch up with colleagues, walk round of site, review conference rooms ready for the day

We have a hotel meeting we call the 10 @ 10 a representative from each department attends and we review the previous days figures and set new targets per departments and go through the business for the day –meetings, lunches, special requests

I have a Walk in appointment for a show round for a meeting  for mid October I showed the customer around the site explaining how unique and extensive the services and grounds are. We looked at the different  conference rooms, layouts and services from the hotel that we can offer for the conference, I follow this up by sending an email proposal

Catch up the Banqueting manager ensuring the in house functions are ok today and check the attendees numbers and lunch times in case they have changed, requested to review the rota for the Firework/Bonfire event for month end that he has enough cover for the extra food & drink outlets on  the night

2pm operations meeting where we go through all  business for the forthcoming week. We  discuss each booking with operations team ensuring the details taken by the sales team are understood for the operations team to deliver the customers expectations from their personalised event whether that be a conference or a weddings. Questions are raised on different bookings that I need answers from the person who took the booking this ranges from confirmation of location lunch in the room, Drop Inn, Tea shop or Courtyard Restaurant

I then look at the next 3 weeks forthcoming business ensuring each booking as paid then chasing up the ones who still owe

We finish the day off with a 5pm “huddle” where we discuss the bookings we have taken on the day, major sales actions form the day and conversions of business,  update on the Christmas covers

There was a few questions raised from the operations meeting that need actioning ASAP with some issues contacting organisera due to them being in meetings out of the office and uncontactable for quick solutions

Overall a steady day within the office, we had a lot of Christmas Parties enquiries that need actioning straight away, we also had varied email and phone calls for conferences, weddings and private bookings

We have had to move some conferences due to work carried outside the conference centre new pathway some customers had viewed the room prior and expecting the room but once explained the reason why we had moved the customer was more than happy with solution
