When you’re looking to book a function room for any occasion, there are many things to take into consideration. To help you out, we've put together a few suggestions that you may want to consider.
Availability
It’s highly recommended to check the availability of your function room prior to any other arrangements. It would be disheartening to put hours of effort into getting everything arranged only to find that your venue is not available on the date!
Directions and Parking
Is the venue easy or difficult to find? Even if you know exactly where it is, will your guests? Does the postcode work when used in Sat Nav? Also, consider the parking options available to your guests. Will they need to bring change for paid parking, or is there ample space for them to park their cars?
Licenses
Does your function room have the appropriate licenses? For example, do they hold a liquor license and what are the serving times? If you plan to have a civil wedding at the function room, make sure they have the necessary licenses and inquire about the contact details of the registrar.
Exclusivity
Will your event be the only one on the date, or are multiple events booked on the prospective date? If another event is going on, how will the venue keep the parties separated? You would not like your guests to vanish and perhaps even strangers take their place.
Catering
Will your function room provide in-house catering or provide a list of recommended caterers? If you are providing the food yourself, how will it be stored before serving? Do-it-yourself food may seem like the cheaper option, but you will more than likely be busy with other things to worry about chips and dip!
Venue decoration
What sort of occasion are you putting on? Will the venue decorate to your requirements, or will you need to do it yourself? How much time will you need to take into consideration setting up before the guests arrive and how much help will you need?
Accommodation
Does your function room provide overnight accommodation for guests who require it? Can you secure preferential rates for a group booking rather than leaving it up to your guests? Will the venue be able to offer extended services to you if your guests are staying overnight?
Noise limits
Some function rooms will adhere to noise limits, meaning there’s a cap on your music volume. If you like to have your music loud and want to turn the music up full blast, make sure you hire a function room that can accommodate your wishes. Also, be sure that you will not be causing a disturbance when leaving the venue, especially if you are in a residential area.
