Yes, it’s fast approaching that time of year again, where the business community get all dressed up in their sparkly dresses and dinner suits to celebrate their achievements over the past 12 months.

The wine and champagne flows and people catch up with colleagues they haven’t seen for a while. To capture all that glorious frivolity and the occasional presentation, you simply can’t rely on smartphones and amateur photographers to produce quality images that tell the story of the evening.  You will probably, also, want to provide local press and any social media platforms with high-resolution, high-quality photographs.

The answer is a professional commercial photographer who is well accustomed to capturing events and award evenings. But hello! There are so many event photographers out there on the World Wide Web, choosing can be a real headache.

Here from a recent blog are a few helpful tips on not just choosing your event photographer, but also how much you can expect to pay.

But, if you don’t have time to read through another article, here are 12 handy tips on how to choose and what to expect;

  • As with many disciplines in photography, corporate events are a skill in themselves. It’s not as simple as picking up a camera and taking a picture. Finding the right, (and that does not always mean cheapest) photographer is key to your event being covered in the way you want it to be.
  • Get your venue and guest speakers etc then choose your photographer. We are an integral part of the evening so don’t leave it to chance.
  • Interview at least three before making your decision, which should not be based on price alone. Listen to the photographer’s ideas, they do this all the time and will know what works. Creative and quirky ideas are always good to hear!
  • An experienced event photographer takes a detailed brief, then comes back with the price. Allow each photographer you speak with to quote you before making your decision.
  • The quote will include time at the event on an hourly/package rate, travel costs and time spent editing your beautiful images making them ready for sharing with all.
  • Remember, you get what you pay for in most situations.
  • Don’t expect to offer whatever is left over in your budget, we are professionals running businesses, and have bills to pay like everyone else.
  • You will be expected to sign a contract for the work.
  • If an overnight stay is expected for the photographer, you will be expected to provide this and food, preferably in the same hotel as the event or where you and staff are staying.
  • Expect a final ‘walk through’ with your photographer a week before the event to finalise any last-minute changes.
  • Expect to be charged at least 50% deposit up front with the final 50% being paid the day after the event. If the event is cancelled within two weeks before the date, expect to pay the photographer the full amount. It’s unrealistic to expect work to be found to replace the expected income.
  • Make sure your photographer knows your requirements before they start. Ensure that you’ve discussed and agreed the turnaround time for the images to come back to you. Don’t leave this until the day, the chances are you’ll be left disappointed. We maybe be great at capturing images, but we’re not all mind readers!
  • Investing in your event photography and a professional is a worthwhile practice and one that will elevate your company above your competition.
