The printer is a real office staple, and like most electrical equipment, the better you take care of it, the longer it will last! Here are 5 top tips to make sure Telford businesses and schools get the best out of their office printer.

Read the manual

The manual should be the first port of call for any printer-related issues. It seems an obvious thing to say, but it is surprising how many people will attempt to ‘fix’ an error on a printer without referring to the user guide! Pressing lots of random buttons may do more damage, so consulting the relevant section of the instruction manual is the right place to begin. If you don't follow your manufacturer's recommended procedures you might invalidate your warranty. You can also invest in a manufacturer's maintenance kit to help prolong the life of your printer. These typically contain cleaning supplies and replacements for the parts most susceptible to wear and tear, such as the roller. Worn or dirty parts are often responsible for printer jams or streaky printing.

The right place

The air conditions within an office or school environment are often warm. Dry air can cause problems for printers, potentially contributing to print head clogging with ink-jets and toner degradation with lasers. It is best to position printers away from radiators and other heat sources.

Don't knock it

Some common printer problems arise from nothing more than being knocked and barged by passing human traffic. If possible, locate the printer in an unobtrusive corner of the office, away from narrow and busy thoroughfares.

Be paper smart

Paper jams are common, and if a page gets stuck in the system the best policy (after referring to the manual) is to very gently pull it free using both hands. Try to make sure the paper doesn't tear.

It is best to avoid a paper jam; don't overfill the paper tray and make sure the paper being fed into the printer is not torn or stuck together. Keep your reams of paper in a dry place and out of direct sunlight.

Be house proud

A dusty printer can lead to streaky printing. Giving your printer a clean will make it sparkle and will also stop dust and debris accumulating and blocking print heads. If your printer is in a dusty or dirty environment – a workshop, for instance – consider investing in a cheap plastic cover.
