Bilton Junior School and Community Summer Fayre 2012 - Book your stall Now!

In 2011 this community event was created and organised by a committee of people including local scouts, businesses, faith groups and schools – all coordinated by staff and parents of Bilton Junior School Rugby.

It was clear of the success from the outset and very quickly ideas ‘snowballed’ and the final event proved phenomenal; raising well in excess of £4000 for local charities and organisations, many thousands more for local businesses and the economy, as well as vital marketing and brand awareness.

An estimated 3000 people attended during the course of the afternoon. This year is even bigger and better due to the support of the many local organisations.

When is it? The event is to be held on Saturday 30th June 2012 and this year will be an all day event.

Gates will open at 11.00am and close at 5.00pm.

Admission is FREE

Where is it? Once again it will be held on the joining fields of Bilton C/E Junior School and Rugby High School. Stallholders will have access and limited off-site parking via Bilton Junior School, (Plantagenet Drive) and the public will have access and parking via Rugby High School, (Longrood Road).

There is plenty of space for an increase in the 100+ attractions we had last year on both grass and concrete pitches as well as indoor space if required.

How much does it cost for a stand? In the event of a registered charity, we are happy to provide a pitch free of charge providing a registered charity number can be quoted. For individuals displaying an item, (such as a private vintage vehicle), no charge will be made as you will be ‘joined up’ with an existing organisation or stand – please indicate this on the booking form. For all other organisations a booking fee of £10 is required with the booking form in order to confirm your pitch. As this is a fundraising event, we also ask commercial stands to agree to pay a total of 10% of all takings made on the day.

This means that the booking fee entitles up to £100 to be made on the day at no extra cost with an extra 10% of any additional takings handed to the event control tent on the day where you will be given a receipt before you leave.

What facilities are available? Most organisations bring their own tables/stands/gazebos/awnings etc. and a standard size gazebo is the approximate size we allocate pitches based on.

Larger pitches can be made available at no extra charge providing prior notice on the booking sheet is given. Water can be available and electricity is available either via your own power leads or our (limited) supply of generators. Full external medical facilities will be available provided by either St. John or an alternative professional provider. A main arena will feature, (see further down), a beer tent, funfair and the entire usual village fete attractions. There will be an event control tent with public address system. Police and/or PCSO’s will be in attendance. Public toilets will be provided in the school. What organisations can book? Any family appropriate organisations! This is a community event, which means we are pleased to receive bookings from almost any aspect of the community. The organisers reserve the right to refuse a booking if it is deemed inappropriate but we would like to hear from: local businesses, charities, faith groups, enthusiasts groups, community groups, music societies, demonstrations, individuals with exhibits of interest, fayre/fete attractions, re-enactments, dance groups etc. Feel free to contact us and discuss your suitability or requirements!

What can we do to give our organisation ‘the edge’? Feel free to hand out leaflets, flyers, information, freebies or goodie bags! Feel free to have a big, attractive display or use balloons and banners, feel free to have a demonstration on your stand, (please be considerate to those around you!) or how about a demonstration or show in the main arena? With a longer event, we have more slots available.

How about advertising in the event programme? You could get your brand directly into the homes of the local audience.

Advertising space, (black and white) costs: £100 for a full page £50 for a half page £25 for a quarter page.
